Most distributors do not have a quoting problem. They have a typing problem.
A request for quote lands in the inbox — a forwarded email, a PDF, three part numbers in the body, sometimes a photo of a nameplate. Somebody on the desk reads it, recognizes about half the lines, opens the ERP to check the rest, pings a vendor for the ones they do not stock, copies prices back into a reply, and hits send. Fifteen minutes, give or take. Multiply that by forty RFQs a day and you have a full-time job that produces no margin on its own — it only protects the margin that is already there.
Here is where those fifteen minutes actually go, and how each piece collapses when you automate it.
Where the 15 minutes goes
- Reading and extracting (3–4 min). Pulling the actual line items out of free-text email, a PDF attachment, or an Excel sheet that every customer formats differently.
- Decoding part numbers (3–5 min). Translating a customer’s shorthand or a competitor’s part number into something you can actually price.
- Finding the ones you don’t stock (3–5 min). Hunting a vendor, checking a price list, or firing off a “what’s your cost on this” email and waiting.
- Writing the reply (2–3 min). Formatting a clean quote in the customer’s language and tone, in your house format.
Notice that none of this is judgment work. The judgment — should we sharpen this price, is this customer worth chasing, do we have stock pressure on this SKU — takes seconds once the rest is in front of you. The fifteen minutes is almost entirely fetch-and-format.
What automation actually removes
The goal is not to auto-send quotes. It is to do the fetch-and-format so a human starts from a finished draft instead of a blank reply.
- Extraction stops being manual. The RFQ — email, PDF, Excel, or a photo — gets read once and the line items come out structured, every time, regardless of how the customer formatted it.
- Part-number decoding runs against your own history and vendor directory first, so repeat lines resolve instantly and only the genuinely new ones need a human.
- Sourcing for non-stock items happens in the background against your vendor list (and a web lookup where it makes sense), so prices are already attached when you open the draft.
- The reply is written in the customer’s language, in your format, ready to review.
What is left for the person at the desk is the two minutes that were always the point: scan the draft, sharpen the price where it matters, hit send.
”Drafts, not auto-sends” is the whole trick
Every team that has been burned by automation was burned by something firing without a human in the loop. So the rule is simple and non-negotiable: the machine drafts, a person sends. Nothing reaches a customer that a human did not look at. That single constraint is what makes RFQ automation safe to put on a real desk — you keep every ounce of control over price and relationship, you just stop doing the typing.
The math that actually matters
