Decoding industrial part numbers: a faster vendor-matching workflow for RFQs

The slowest minute in any RFQ is the one where you stare at a part number and think, what is this, actually?

Customers don’t send clean catalog numbers. They send what they have: a worn label, a number off an old PO, a competitor’s SKU, an OEM number when you sell the aftermarket equivalent, or just “the seal kit for the unit we bought in 2019.” Every one of those has to become a part you can price — and the gap between what they typed and what you sell is where quoting time disappears.

Why part numbers are hard

  • Format drift. The same bearing is 6204-2RS, 6204 2RS1, 62042RSC3 and 6204DDU depending on who is writing it.
  • Cross-brand equivalents. The customer names one manufacturer; you stock another that fits. Matching those is knowledge, not lookup.
  • OEM vs. aftermarket. An OEM number and its aftermarket equivalent are the same part to the customer and two different lines in your system.
  • Partial information. Half a number, a description instead of a number, or a photo of a nameplate.

A person clears this with experience. The problem is that the experience lives in a few people’s heads, and it does not scale past the hours those people have.

A workflow that scales the knowledge instead of the hours

The fix is to make the first pass automatic and reserve human attention for the genuinely ambiguous lines.

  1. Normalize first. Strip the formatting noise so 62042RSC3 and 6204-2RS C3 collapse to the same canonical part before you look anything up.
  2. Match against your own history. Most RFQ lines are things you have quoted or sold before. Your past quotes and invoices are the best cross-reference table you own — check them before anything external.
  3. Resolve equivalents from your vendor directory. Known OEM↔aftermarket and brand-to-brand mappings get applied automatically, so an equivalent you already sell surfaces without a person remembering it.
  4. Flag, don’t guess. The lines that don’t resolve cleanly get surfaced for a human with the candidates attached — never silently guessed. A wrong part on a quote is worse than a slow one.
  5. Attach the source. Every matched line carries where the match came from (your history, a vendor list, a web result), so the reviewer can trust it in a glance.
